Page changes can affect bookmarks, links, forms, comments, signatures, and accessibility information even when the visible pages look correct. If those features matter, test the output in another viewer. Do not delete a page simply because it looks blank; it may be a separator for two-sided printing or contain invisible form content. When combining several files, place them in the intended order before dragging and compare the final page count with the sum of the inputs. Use a new filename that identifies the edited derivative rather than overwriting the approved source.

Know the limits of free text editing on a Mac

Preview is not a full reconstruction editor for every PDF. A PDF can store glyph positions, subset fonts, vector objects, image scans, and multiple text fragments instead of ordinary paragraphs. Even professional editors may need to infer fonts and reading order. If you must rewrite substantial text, the cleanest option is to edit the original Word, Pages, InDesign, or presentation file and export a new PDF. If the source is unavailable, convert the PDF to Word, review the layout, make the change, and create a new PDF while preserving the original for comparison.

Scanned PDFs require another decision. If the page is a photograph of text, there may be no characters to edit. Run OCR to create a searchable text layer or an editable derivative, then compare important names, dates, totals, and punctuation with the scan. OCR does not prove the recognized words are correct, and it does not restore the source document's semantic structure. Treat the scan as evidence and the OCR text as a convenience that must be reviewed.

Save a separate copy and verify every changed page

Use Duplicate or Save As to preserve an unchanged original, and add a clear word such as edited, signed, or reviewed to the derivative filename. Reopen the exported PDF, zoom in on every annotation, and check the first page, last page, and each page with a different size or orientation. Search for added text when it should be searchable. Test form fields and links that should remain interactive. If you exported through a filter or another format, compare image quality and file size with the source because conversion can flatten or recompress pages.

Before sharing, ask whether the edit changes the document's meaning or approval status. Confirm that old wording is not merely hidden under a shape, that confidential information was securely redacted when necessary, and that a digital signature has not been silently invalidated. Open the file in a browser or another PDF viewer to catch compatibility problems. A good free Mac workflow uses Preview for the tasks it handles well, changes source text in the source application when possible, applies OCR only to scans, and finishes with a side-by-side review of the original and final files.
