Define accuracy for the document and audience

Document translation is more than replacing words. A useful translation must preserve meaning, tone, terminology, numbers, references, and enough structure for the reader to understand the same relationships as the source audience. The standard depends on purpose. An internal overview may tolerate a fluent machine draft with light review. A contract, safety instruction, medical record, public filing, or customer promise requires qualified human review and may require certification. Decide who will read the translation, what decisions they will make, and which errors would cause harm before selecting a workflow.

Identify the source language, target locale, and desired style. Brazilian Portuguese and European Portuguese are not interchangeable in every context; the same applies to many regional variants. Collect approved names, product terms, acronyms, and phrases that must remain untranslated. Mark passages quoted from laws or existing publications that may have official translations. If the document has ambiguous wording, resolve it with the author when possible. Translation cannot reliably preserve an intention that the source itself does not express clearly.

Prepare clean source text and structure

Use the original editable document when available. Text extraction from a digital PDF may be accurate, but reading order, footnotes, columns, and tables can be disrupted. A scanned document requires OCR first, adding another layer of possible error. Correct recognition mistakes before translation, especially names, numbers, dates, and domain terminology. Remove irrelevant headers or repeated navigation if they would confuse the model, but keep page and section references so translated passages remain traceable. Preserve a locked copy of the source for comparison.

Structure the content into logical units instead of translating isolated lines. Context helps determine pronouns, terminology, and tone. At the same time, units should remain linked to headings, paragraphs, lists, table cells, captions, and footnotes so the output can be placed correctly. Do not mix content from separate columns or turn a warning box into an ordinary paragraph. For spreadsheets and forms, distinguish labels from user-entered values. Protect codes, URLs, formulas, placeholders, and variables that must remain exact.

Control terminology, numbers, and formatting

A glossary is one of the most effective quality controls. It should list the source term, approved translation, context, and any prohibited alternatives. Apply it consistently across headings, body text, diagrams, and interface labels. Translation memory can help recurring content, but previous translations still need review when context changes. In AI-assisted workflows, provide terminology and audience instructions explicitly. Avoid asking only for a natural translation; specify whether the result should be formal, concise, technical, accessible, or aligned with an existing brand voice.

Numbers deserve independent attention because fluent text can hide a changed value. Compare dates, currencies, decimal separators, percentages, units, ranges, clause references, and version numbers. Decide whether units should be converted or preserved and label any conversion. Check that negative signs and inequality symbols survive. Formatting also carries meaning: bold warnings, numbered obligations, table headers, and footnote markers should stay connected to their content. A translated paragraph that looks attractive but separates a condition from its exception can materially change the message.

Review meaning before polishing layout

Use a bilingual review whenever the consequences justify it. The reviewer should compare source and target, not merely proofread the target for fluency. Check for omissions, additions, reversed relationships, incorrect pronouns, inconsistent terms, and softened or strengthened obligations. Review headings against the text beneath them. For AI output, request uncertainty to be surfaced rather than silently resolved, then inspect ambiguous passages. Back translation can reveal some issues but is not proof of accuracy because two systems may produce a plausible round trip from the same mistake.

After meaning is approved, rebuild and inspect the layout. Translated text often expands or contracts, changing line breaks, table heights, and page count. Confirm that no text is clipped, that captions remain with images, and that right-to-left scripts render in the correct direction. Use appropriate fonts with complete character coverage. Recreate hyperlinks and bookmarks where needed. If the document must be accessible, verify language metadata, headings, reading order, and alternative text. Export a final PDF and compare every high-risk number and section reference one more time.

Protect confidentiality and maintain version control

Translation tools may process contracts, employee information, product plans, or customer records. Check whether files are sent to a server, how long they are retained, which model or subprocessor receives them, and whether content is used for training. Use organization-approved services for sensitive documents, limit the pages submitted when possible, and delete temporary copies after review. Translators and reviewers should receive only the access they need. A polished translation is not successful if the workflow exposes information that the original owner expected to remain private.

Name files clearly by language, locale, status, and version. Keep the source, machine draft, reviewed translation, and final published document distinct. Record who approved terminology and who performed the final review. When the source changes, compare versions and translate only after identifying the exact changes; copying edits manually between language versions is a common source of inconsistency. A strong document translation process combines clean source extraction, explicit terminology, traceable units, bilingual review, and careful layout validation. AI can accelerate the draft, but accountable review protects the meaning.
